Executive Assistant
Keeps official corporation records and executes administrative policies determined by or in conjunction with
other officials by performing the following duties.
PRINCIPLE DUTIES/RESPONSIBILITIES
1. Directs preparation of records such as agenda, notices, minutes, and resolutions for Board and other
company meetings, maintaining information electronically or in assigned binders.
2. Manages the CEO’s calendar and independently schedules appointments.
3. Screens incoming calls and correspondence and responds independently when possible.
4. Initiates, prepares, and submits facility related license applications to the applicable state or county
department; maintains the license files and related communication.
5. Assists with completion of insurance applications and requests Certificates of Insurance as needed.
6. Arrange programs, events, or conferences by organizing facilities and catering, issuing information or
invitations, coordinating speakers, and controlling event budget.
7. Acts as custodian of company documents and records.
8. Composes and prepares confidential correspondence, reports, and other complex documents.
9. Creates and maintains database and spreadsheet files.
10. Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related
meetings, and accompanies supervisor when requested.
11. Provides customer service to internal and external customers and stakeholders.
12. Participates in the performance improvement processes in the clinic.
13. Must work well under pressure meeting multiple and sometimes conflicting deadlines.
14. At all times demonstrate cooperative behavior with colleagues and supervisors.
15. Performs other duties as assigned.
Required:
• High School Diploma or GED.
• 21 years of age or older.
• Must be Arizona fingerprint/certified if applicable.
• Must have valid Arizona driver’s license and insurance clearance to drive clinic vehicles , if applicable.
Preferred:
• AA or higher with strength in office procedures.
• 2 years experience where confidentiality was required.
